Key Responsibilities
Manage The Md's Calendar End-to-end — Scheduling, Prioritising, And Resolving Conflicts Across Meetings At The Corporate Office And Manufacturing Units.
Coordinate Travel, Logistics, And Itineraries For Site Visits And External Meetings.
Draft, Proofread, And Manage Correspondence And Communication On The Md's Behalf, Exercising Sound Judgement On Tone And Priority.
Prepare Agendas, Take Minutes, And Maintain Action-item Trackers For Leadership Meetings, Following Up To Closure.
Screen And Triage Calls, Emails, And Requests, Routing Them To The Right Person And Flagging What Needs The Md's Direct Attention.
Maintain Confidential Files, Records, And Documentation With High Discretion.
Liaise Smoothly With Unit Heads, Functional Leaders, And External Stakeholders (Vendors, Consultants, Auditors) On The Md's Behalf.
Track Deadlines And Deliverables The Md Has Committed To, And Proactively Follow Up With Owners.
Manage Expense Reporting, Approvals Routing, And Other Administrative Support As Required.
Support Ad Hoc Projects, Research, And Documentation Assigned By The Md.
Candidate Requirements
Bachelor's Degree In Any Discipline; A Secretarial / Management Qualification Is A Plus.
3–6 Years' Experience As An Executive Assistant Or Personal Assistant To Senior Leadership (Md / Ceo / Director Level), Ideally In A Manufacturing Or Industrial Setting.
Excellent Written And Spoken English, With Fluency In Hindi And/or Gujarati For Local Coordination.
Strong Command Of Ms Office (Word, Excel, Powerpoint) And Comfort With Google Workspace Tools.
Working Knowledge Of Ai Tools (E.g. Chatgpt, Claude) For Drafting, Research, And Productivity Tasks.
High Discretion, Integrity, And Comfort Handling Confidential Business Information.
Sharp Organisational Skills — Able To Multitask, Prioritise, And Keep The Md Ahead Of Deadlines Rather Than Reacting To Them.
Composed, Professional Presence — This Role Interfaces With Leadership, External Partners, And Occasionally Family Stakeholders.
Willingness To Travel Occasionally Between Units (All Units Are Within ~5 Km Of Each Other).
Desirable
Prior Experience Supporting Leadership Across Multiple Business Units Or Legal Entities.
Exposure To Erp Systems Or Structured Business Processes.
A Valid Driving Licence.

Experience 3–6 years supporting senior leadership (Director / MD / CEO level)
Industry Manufacturing preferred (food packaging, FMCG, or process industry an advantage)
